Job Description

We are looking for a highly organized and proactive Personal Assistant to the CEO to provide exceptional administrative and strategic support. You will play a pivotal role in enabling the CEO to focus on high-level priorities by efficiently managing day-to-day tasks, schedules, and communication.

Key Responsibilities

  • Calendar Management: Organize and maintain the CEO’s schedule, including meetings, calls, travel plans, and events.
  • Communication Management: Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft, proofread, and manage emails, reports, and presentations.
  • Office Management: Assure office is in good order and clean.
  • Meeting Coordination: Schedule meetings, prepare agendas, take minutes, and follow up on action points to ensure timely execution.
  • Travel Planning: Arrange domestic and international travel itineraries, including flights, accommodation, and logistics.
  • Task Prioritization: Assist in prioritizing the CEO’s tasks and deadlines, ensuring focus on strategic business objectives.
  • Information Management: Organize and manage confidential files, documents, and key information.
  • Project Support: Collaborate with various departments to track and manage projects as directed by the CEO.
  • Problem-Solving: Address administrative issues proactively and provide solutions to enhance efficiency.
  • Personal Support: Provide ad hoc personal support as needed, including managing personal appointments or errands.

Qualifications

  • Education: Bachelor’s degree preferred.
  • Experience: Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or similar role, preferably in an e-commerce or fast-paced environment.
  • Skills:
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in tools like Microsoft Office, Google Workspace, and project management tools.
  • Ability to handle sensitive and confidential information with professionalism.
  • Strong attention to detail and ability to multitask effectively.
